WHAT YOU’LL BE RESPONSIBLE FOR IN THIS ROLE

The Manager Field Services will be responsible for managing and leading the Farms and Harvest admin team that supports the Ag Operations Department. This role will consist of overseeing a team of administrative assistants providing guidance and leadership in accordance to Standard Operating Procedures, policies, and compliance in accordance with, but not limited to OSHA, State and Federal laws for the Ag function. 

  • Developing, designing, or creating reports and forms for department managers and supervisors to increase efficiency. 
  • Provide support with Air District permits to ensure compliance.
  • Scheduling special events, programs, and activities for Ag Function
  • Develop and train admin team for Harvest, South Shop, and Farms to perform up to par.
    • Prepare and track all Monthly safety forms for harvest.
    • Coordinate UKG/Kronos information, entry (employee hours/sick time/vacation) for hourly team members within departments. 
    • Submit ITCRF request for access and equipment as requested.
    • Responsible for maintaining and monitoring compliance with wage and hour law.
    • Weekly input of disciplines. 
    • Print and approve employee timesheets on a weekly basis. 
    • Acts as a liaison with temporary labor agencies and assists upper management in handling any discrepancies.
  • Provides administrative support to multiple executives. 
  • Serves as a point of contact for the business unit or department. Answers questions, directs requests appropriately and works with others effectively to exchange information.
  • Performs administrative projects including coordinating, tracking, or analyzing budgets; researching information to respond to questions; updating databases and creating monthly reports or analyses; organizing large volumes of materials. May research background material and collect data for reports, meetings, events, and correspondence. 
  • Creates various charts, tables, graphs, and presentation materials, sometimes containing confidential content. Edits copy for spelling, grammar, and layout. 
  • Schedules executive domestic and international travel in compliance with existing policies and procedures 
  • Develop working relationships with executives’ direct report team. May attend direct report team meetings as requested. 
  • Actively engages with administrative team within function to share best practices, cascade communications and develop open communication paths. 
  • Advises department in awareness of and compliance with company policies and procedure. 
  • Executive support with administrative duties to Managers, Directors, VPs, and CEO 
  • Update and cascade Harvest Field Summary for VP of Farming: Avenal, Lancaster, Cuyama
  • Process and submit expense reports for Executive team and Farm Managers 
  • Responsible for processing and Expense report support to South Shop and Harvest 
  • Managing and reviewing Farming Purchase orders: Fuel, Supplies, Invoices: Kern, Imperial, Salinas, Lancaster, Avenal.
  • Processing Company Carrot Seed orders in system.
  • Analyze, Track and OT Farm Report. 
  • Enter, Review and approve Payroll – Farms, Processed Water, Kern Growers, Avenal
  • Enter, Review and approve Payroll – Back up for Harvest and Lancaster Farms
  • Execute Grower Agreements: Kern, Imperial, Salinas
  • Manage Farm contracts - Prepare Amendments & Sublease agreements (ContractPodAI)
  • Farming Fixed Asset Report tracking and submitting– Support Ag Accounting
  • Support Accruals for leases and subleases.
  • Gather and process billings for Processed Water revenue crops (Alfalfa, Sorghum, Wheat, Corn)
  • Executive Ad Hoc requests as needed.
  • Bunch Harvest Invoice Tracking: Imperial/Salinas
  • Review and Process contract labor invoicing. 
  • Review, Process and Track Contract Labor Accruals for accurate month-end reporting. 
  • Collaborate with HR to provide adequate support and resources for hiring managers. 
  • Partner and Collaborate with Ag Accounting as needed.
  • Company requests for donations: Bolthouse Properties events, miscellaneous community events.
  • Crosstrain all farming admins to serve as backups for each other, including Harvest (All are trained in payroll, purchase orders, MRO inventory, field maps, etc.)
  • Org Design of team to provide adequate support to Cuyama administrative assistant. 
  • Partner and collaborate with legal on ad hoc requests.
  • Yearly procurement of grower gifts and coordinate distribution schedule: Kern, Avenal, Salinas, etc.
  • Process customer set-up requests through Serena for A/R
  • Prepare and distribute new vendor set-up requests.
  • Other Duties as assigned.

  • Strong organizational, interviewing and listening skills.
  • Strong interpersonal and customer service-oriented skills.

Minimum Qualifications:

  • High School/GED or one to two years’ experience in a related field or combination of both education and experience. 
  • Valid drivers’ license and clean driving record.

Preferred Qualifications:

  • 2-3 Years of previous experience in an administrative environment.
  • Associate degree (A.A.) or equivalent, from two-Year College or technical school; and three years of related experience.

PHYSICAL DEMANDS:

  • Operate office equipment requires repetitive hand movement and fine coordination including use of a computer keyboard. 
  • Work is performed primarily in an office setting, with the majority of the time at a computer workstation.
  • May be required to stand/walk for extended period of time during work.
  • Ability to climb stairs/steps and work in cold environments.
  • Lift, carry, push, and/or pull light to moderate amounts of weight up to 25lbs.


HOURS & WORKDAYS:

1s Shift – 7:00AM to 4:30PM; Overtime, Weekends, and Holidays may be mandatory based on business needs. Rotating workday/time off schedules may be mandatory depending on department/business needs as well.
